Equipment on the Move Requires Paperwork

Always notify CIRES Property before moving tagged equipment, especially if it’s leaving campus, and definitely if it’s being deployed for fieldwork.

Why? Because equipment must be appropriately tracked and documented per CU and Federal regulations. Procedures are in place, not just to protect CIRES and CU, but to protect you!

The documentation depends on the circumstances, but here are some examples:

Equipment deploying for fieldwork requires an Off-Campus Agreement. 

Equipment shipping abroad requires Export Control clearance.

Transporting equipment yourself? Consider a Documented Plan.

Loans require bailment agreements.

Trade-ins require authorization from CU Property Accounting.

Off-site maintenance must be documented in the CIRES Asset Manager (ICAM for short). So if you’re getting your instrument repaired or calibrated, let me know!

Lab moves must be tracked.

Transfers to other departments require a signed transfer form.

Want to get rid of your equipment? It must be excessed through CU Property Services.

Donations must be processed as Gifts-in-Kind.
